Leading HVAC/R distributor solves Print, Web and content management problem using CatalogStudio PDF Print E-mail

The Customer

One of the largest wholesale distributor of HVAC/R equipments in the country. The customer stocks and sells over 25,000 products and parts, and has a 1100-page catalog which is used as the main marketing tool for the company.

The Challenge

The customer’s catalog was previously built in-house over several years using QuarkXpress software. In order to publish a  new catalog every year, the customer had to go through an elaborate and time consuming task of updating and adding new products to the catalog, remove the products that were discontinued, and also update the latest price and description in the static Quark pages. This process was highly time consuming and labor intensive. The customer also maintained pricing information for all the products in an AS400 system but did not have other information about the products in the database.

As the business was growing fast and more companies were acquired, the customer realized that it was becoming impossible for its staff to keep track of all the information in the static Quark pages and that it will take at least 6 months to get its primary catalog published. The customer also wanted to take its product information online through its website to its customers with the ability to order products online.

The customer realized that they were in need of a central database to store all the product information. The customer also needed tools to get the data published to print and online media quickly and effectively, and also to publish print catalogs every year with minimal effort.

The Solution

TradingBell proposed its CatalogStudio solution for publishing print, web and CD catalogs.

It was easy to get the product SKU and pricing information from the AS 400 system, but the information from Quark could not be imported directly into the TradingBell database. In order to solve this problem, TradingBell with its robust set of tools and vast experience, extracted, converted, cleaned, normalized and stored the data in TradingBell database from the 1100 Quark pages and linked thousands of image assets to the products within 60 days.

The Result

The customer, with all the important asset information now captured and stored in a Microsoft SQL server database, is now able to use the CatalogStudio & InCat software for managing product content and publish its catalogs quickly. Every year the customer publishes its primary catalog and also publishes several small market specific target catalogs and custom catalogs designed specifically for some individual customers.

With the use of TradingBell’s software, the customer has achieved the goal of managing its product assets in a central repository database and make quick and last minute changes to the product information before the catalog is published. Customer is also using the same database and information for its online catalog where customers have the the ability to order directly.

CatalogStudio’s PDF publisher was adopted as a solution and a team of engineers from TradingBell worked with the customer to understand the catalog requirements and created necessary templates to achieve required output.

The entire process of bringing the data from the current ERP system to CatalogStudio’s SQL database and auto generate the entire PDF catalog within one hour was setup for this customer within a span of 2 weeks’ time.

The Customer

The customer is an independent distributor of Electrical, Plumbing, HVAC and Data Communication products since 1931 serving Minnesota, Wisconsin and South Dakota.

The Challenge

The customer has multiple store locations and publishes online and print catalog for each of their stores from the data center located at their headquarters. The customer was in need of a catalog solution to store all the product information in a central database and create custom and on-demand catalogs for each of their customers using the data and images stored in the central repository database.

Catalogs were created by store managers on the fly for customer's visiting their store locations using the data stored in their data center.

The Solution

TradingBell was selected to solve this problem. TradingBell initially converted and loaded all the data from the customer’s legacy system. TradingBell's experts also associated thousands of images to the products.

The customer now uses TradingBell’s CatalogStudio & InCat software to create custom catalogs for its customers and also uses TradingBell's ExIm tool to regularly update the pricing information from their inventory control system.

The Challenge

The customer was using an homegrown software for managing all their products and parts information for many years. Publishing was done using this system which had very limited functionality in automating catalog publishing and had no direct integration with Adobe InDesign to produce creative catalogs.

The Solution

TradingBell CatalogStudio and InCat for Adobe InDesign was selected to replace the homegrown system. A team of TradingBell engineers, worked with customer closely and migrated the entire database of product and parts information with all the attributes and images to the CatalogStudio database. With years of TradingBell’s experience, the entire migration effort was completed in less than 30 days.  Once the software was installed, an on-site training was provided by TradingBell to a group of Product Managers.

One of the nation’s largest distributors of arts and craft supplies located in New Jersey.

The Challenge

The customer is challenged with creating, managing and updating product information and producing their print catalogs on time with accurate data. Every year, it takes several months to identify, consolidate, and create the year’s catalog. Adding to this, the basic description and price for the year’s catalog was to be extracted from the AS 400 system.

The Solution

TradingBell provided a turnkey solution to the customer by consolidating and aggregating product information from various sources including extracting information from the previous year's QuarkXpress catalog, loading primary SKU information from the AS 400 system using integration tools, and helped setup the initial workflow for producing print catalogs using Adobe InDesign.

A complete analysis of the entire product line was done to create the ideal hierarchical structure of the data with categories, sub categories, and product group classifications. Products were configured with attributes to capture important product technical specification that are used in print and web catalog along with information that is used for internal reporting and business intelligence.

As part of Jump Start Program, TradingBell’s team used the fully structured and normalized data, created the initial InDesign templates, and provided all the necessary samples for the customer to get started with their catalog production along with training and support.

The Result

Today, the customer is able to create their catalog and other marketing materials with 90% less time and more accurate and up-to-date content. Direct integration with AS 400 helps bring the latest pricing to the catalog before sending the catalog files to the printer.
